Med Spa Consultation Booking Script and Follow-Up Texts
A med spa consultation script has to do two things at once: sell the consult as the sensible first step, and get a real time on the calendar before the caller hangs up. The follow-up texts then have to hold that booking, because aesthetic consults are booked far ahead and far-ahead bookings cancel the most. Below is the full phone script (greeting, treatment question, pricing question, hesitation, booking, close), then the exact text sequence for the eight windows that matter: instant confirmation, the day after, one week out, 48 hours, day-of, no-show, post-consult, and no-decision.
Two numbers shape the design. Part 1: the consultation phone script
Greeting
“Thanks for calling [Spa Name], this is [Name]. Are you calling about a treatment you’ve had with us, or something you’re considering?”
That question splits returning clients from new leads in one line without asking “are you a new patient,” which some callers hear as “do you have an account.”
“I’m interested in Botox / filler / laser. How much is it?”
Do not lead with a number and do not refuse to give one. Give the structure of the price, then move to the consult.
“Happy to walk you through it. For [treatment], pricing depends on the area and how much product you need, so it ranges from about [low] to [high] per session. Our injector sets the exact plan at a consult, which takes about 30 minutes. The consult is [free / $X, credited toward treatment]. Would you like me to find you a consult time this week or next?”
If the caller pushes for a firm price: “I don’t want to quote you a number and have it be wrong in either direction. The consult is where you get the real one, and you’re not committing to anything by coming in.”
“Can I just book the treatment instead of a consult?”
“For a returning client with a plan on file, yes. For a first visit, we book a consult and, if you’re a good candidate and want to proceed, [Injector] can usually treat you the same day. So you’re not losing a visit. Shall I book that as a consult with same-day treatment time held?”
Hesitation: “Let me think about it and call back”
Never argue. Offer a low-commitment hold and ask for texting permission.
“Of course. Can I hold a spot for you so it’s there if you decide? You can cancel by text with no charge up to [policy window]. And is it okay if I text you our before-and-after gallery and the consult details on this number?”
That permission line is the hinge of the whole flow. Without it, you have a lead; with it, you have a text thread.
Booking

Ask for date of birth even for a consult. Spouses and roommates share phones and emails, and a chart matched on phone alone becomes someone else’s chart. Name plus date of birth is the safe match.

Part 2: the follow-up text sequence
All messages come from the same number the client called. Keep clinical details out of the text body; name the treatment in general terms and put specifics in the intake form.
T0: instant confirmation (within one minute of booking)
Hi [First name], this is [Spa Name]. You're booked for a consultation with [Injector] on [Day, Mon DD] at [time]. Address: [address]. Please complete your intake here: [link]. Reply C to confirm or R to reschedule.
T+1 day: the gallery and the question
This message exists because the caller was thinking about it. Give them a reason to stay booked and an easy way to ask something.
Hi [First name], [Name] from [Spa Name]. Here are a few before-and-afters from [Injector] for the treatment you asked about: [link]. If a question comes up before your consult, just reply here.
One week before (for consults booked 2+ weeks out)
Skip this message for bookings under two weeks out. For everything else, this is the message that catches the 12.9% early enough to refill the slot.
[First name], your consultation with [Injector] is one week from today, [Day] at [time]. Still good? Reply C to confirm or R and we'll find another time.
48 hours before
Reminder: [Spa Name] consult with [Injector] on [Day] at [time]. Arrive 10 min early with a clean face, no makeup on the treatment area if possible. Reply C to confirm or R to reschedule.
Morning of
See you today at [time], [First name]. Parking: [one line]. Text us when you arrive if the door is locked. Running late? Reply here.
No-show (30 minutes after the start time)
No blame, one action. Send this the same day; a next-day message reads as an afterthought.
Hi [First name], we missed you at [time] today. Things happen. Here's the link to grab another consult time this week: [link]. Or reply and we'll book it for you.
Post-consult, treatment not booked (same evening)
[First name], thank you for coming in today. [Injector] wrote up your plan: [link]. When you're ready to schedule, tap here: [link], or reply with days that work. No pressure, and questions are welcome.
No decision after 7 days
One more message, then stop. Reactivation later is a different conversation.
